Facility Rentals
General Information |
All rental requests for group use of facilities are considered on an indivdiaul request basis. Exclusive reservations of space are scheduled primarily during times of low membership usage or after normal hours of operation. A confirmed contract is required by all groups using facilities. See current facility hours of operation and youth access policies. See program area brochures for current group or available rental hours for each activity area. All rates are subject to change without notice.
- A facility rental request requires a minimum of two weeks advance notice and an "After Hours" needs a minimum of 60 days notice to the Recreational Sports Center. Make just one call to the RSC office (513) 529-6868 during all open hours. Include group contact name, phone, address, day and time arriving and leaving, group size, exclusive area use (space for your group only) or general admission activities (use of space with the general public) desired, equipment needs and any food service needs. Please leave phone numbers, day or night, where we can reach you and/or an e-mail address.
- You will be contacted within two working days to formalize your reservation request. When approved you will be provided a confirmed reservation rental contract from the Director, Special Events & Reservations. Please verify the content of the rental contract. If you require any changes or need clarification at this time, call (513) 529-6868. Then, once you have verified the agreement, sign and deliver or mail the agreement to the Recreational Sports Center, on or before your first rental date. In all communication please have contract number to reference. The group contact is to communicate rental agreements and arrangements to their group members, collect and pay group fees, and be responsible for group members adherence to facility policies. Non-Miami groups must provide proof of insurance.
- Most RSC rentals will require the group contact to go to the Pro Shop/Membership Window upon arrival to present the rental agreement, confirm group numbers, and pay any required fees (cash, checks payable to Miami University, approved purchase order, or VISA/MC charge). All other group members should assemble in the concourse or spectator gallery, as specified in the rental agreement.
Rentals may be charged a cancellation fee based on the following timeline:

Groups of 10 (requires 1 paying adult for every 10 children)
$6.00/person or a min. charge of $60/group to qualify for group discount
Groups of 9 or smaller (requires 1 paying adult for every 10 children)
$9.00/person 13 years & older
$7.00/person, 12 & younger
Groups will be sharing facility areas with others on a first-come, first-serve basis. Group size in any one area may be limited due to number in group. Recreational Sports staffing for supervisory needs or requested instruction will be arranged at additional cost. The number of required adult group leaders for groups with individuals 17 years of age and younger will be determined by the Recreational Sports Center (1 adult: 10 youth). Some facilities have additional fees (climbing wall, etc.) or different posted hours (dive well, etc.).
Children 12 years of age & under must be directly supervised in the same activity area by a parent or adult at all times. Usage is limited to areas approved for children/youth programming, (e.g. Sports Forum Courts, Climbing Wall, Aquatic Center, and Lounge Areas).
-Strollers are NOT allowed in activity areas.
-Children under 12 are NOT allowed in the Fitness Center.
-Youth ages 13-17 may use the Fitness Center w/ an adult partner during designated facility “youth” access hours.
- Proper non-marking athletic shoes are required for Fitness Center, Track, Sports Forum, and other wood floor activity areas.
- Headphones must be worn with all radio and electonic devices.
- Allowable pool equipment includes: training devices if Coast Guard approved.
- Basketballs, volleyballs, indoor soccer balls and racquets may be brought in or checked out free-of-charge with a picture ID.
- Secure all personal property in lockers. Locks may be brought to use in the locker rooms.
- Jewelry should not be worn.
- No outside food is permitted in the RSC
- Food & beverages purchased in the Recreational Sports Center are allowed in the Concourse, Spectator Gallery, Lounge Areas, & classrooms only
- Plastic bottles with secured lid or spout may be used in activity areas.
- Rental group will only have use of scheduled activity area. Rental groups will have shared use of the locker rooms and concourse, and exclusive use of only those areas specified on the rental agreement.
- Large group events will require additional approval of the Director of Recreational Sports. Large groups may require parking attendants, building security, custodial and activity specific staff at an additional cost.
- Facility damages or excessive cleaning fees related to rental use will be billed to the host organization
- MU academic classes will be charged staffing and equipment fees only (time restrictions apply).
- MU students receive 50% reduction on RSC facility fees for MU student events. (Does not apply to staff or equipment fees)
- Non MU vendor fees will be applied for any food or merchandise sales. Approval must be obtained for all vendors that will be associated with the rental.
- Long term rentals will receive a specified discount on facility fees for all contracted hours, unless otherwise noted. Special events are NOT included in the long term rental discount. To receive the discount, all hours must be confirmed and included in the initial rental request. Staff costs are not discounted.
