If you are thinking about working while attending Miami, you may want to consider campus employment. During the past year, more than 5,300 students were employed in various capacities by nearly 150 academic, administrative, and support service departments.

Working on campus will not only provide income; it will foster responsibility, encourage you to budget your time wisely, and offer opportunities for learning and skill development. Students who choose to work on campus appreciate the convenience of job locations and the opportunity to become better acquainted with faculty and staff. They also like the fact that university employees are understanding and flexible about academic demands.

Confidentiality Agreement

Miami University collects, stores, and distributes large amounts of information essential to the performance of University business. Although a large portion of University information is available to the public, a significant portion of our information is protected by state and federal laws. To comply with these laws and protect the University community, the University has the right and obligation to protect, manage, secure, and control information in its possession. Any student employee that has access to confidential information maintained by the University, including information about students, parents, faculty and staff should maintain the absolute confidentiality of all such information. All student employees that have access to such confidential information should sign the Miami Student-Employee Confidentiality Agreement. Any breach of confidentiality by the student may result in student disciplinary action and/or the termination of employment. Intentional or deliberate violations may be cause for criminal or civil sanctions.

Confirmation of Employment for International Students

After an International Student is hired they need to apply for a social security card. After completing the I-9, Student Employment will provide the student with the Confirmation of Employment form. The student must then take the form to their direct supervisor for completion. The Social Security Administration will be on campus once each semester to take applications for social security cards. Students can call the Office of International Education (513-529-2512) for the dates and times they will be on campus. Students will need to take the completed Confirmation of Employment form with them when applying for their social security card.

FERPA

The Family Educational Rights & Privacy Act (FERPA) is a federal law that protects the privacy of student records, including financial, academic or employment. Although FERPA contains exceptions for the release of “directory information” without a student's prior written consent, students have the right to request that such directory information not be disclosed. For more detailed information regarding FERPA, please visit the General Counsel’s website at http://www.units.muohio.edu/general counsel/ferpa/index.html.

Student Employment processes Employment Verifications for current and previous student employees. If you receive an employment verification request, please campus mail or fax the request to Student Employment. If you would like to provide a job reference, verbal or written, you will first need to obtain the student’s written consent. Retroactive Pay

If a student is entitled to retroactive pay for time worked, the department supervisor must complete the Retro Pay Submission Form. All fields on the form must be completed including a brief explanation as to why the hours were not logged into Kronos. After completing the form click the button "Email Form to Student Employment". You may also print the form for your records. Retroactive payments should be kept to a minimum. It is important that paperwork be prepared and processed in a timely manner to ensure that the student employees are paid correctly and on time.

Applicant Instructions

Once a student is moved to the “Paperwork Pending” status in PeopleAdmin, he/she will receive an email with instructions on how to complete the required paperwork.  Once all necessary paperwork has been completed, Student Employment will move their status in PeopleAdmin to “Hired”.  Both supervisor and student will receive an email notification when the student is moved to the “Hired” status.  At this point the student is eligible to begin work.

The Department of Human Resources, 15 Roudebush Hall, coordinates all student employment and student payroll registration at Miami. University employers do their own hiring and you are responsible for finding a job.

There are two types of student employment at Miami: Federal Work-Study and regular wage employment. The job classifications and wage rates are the same for each, but they are financed differently.

When you are moved to the "Paperwork Pending" status in PeopleAdmin, you will receive an email with instructions on how to complete the required paperwork. Once you complete all necessary paperwork, you and your supervisor, will receive email notification stating that you have been moved to the "Hired" status. At this point you are eligible to begin working.

Required Identification

Federal regulations require Miami University to verify your identity and employment eligibility by completing an I-9.  You will need to bring the proper identification with you to complete the I-9.  The most commonly used ID’s are:

  • Unexpired Passport OR
  • Driver’s License OR Student ID combined with original Social Security Card OR original/certified Birth Certificate

Employment forms must be completed in one of the following locations:

  • Oxford Campus-Roudebush Hall, Room 15
  • Hamilton Campus-Cashier's Office
  • Middletown Campus-Johnston Hall, Room 116A

Please keep in mind; we cannot accept copies or faxed documents.

 

Direct Deposit

Establishing Direct Deposit

Student employees are paid bi-weekly.  Students are required to be paid by direct deposit with the exception of Work Study recipients.  If you receive Work Study as part of your Financial Aid you are not required to be paid by direct deposit but it is recommended for your convenience.  Paychecks of Work Study recipients can be picked up at Payroll Services Roudebush Hall, Room 2 on payday.

To establish direct deposit:

  1. Login to BannerWeb via MyMiami
  2. Click "Employee Services Online"
  3. Click "Pay Information"
  4. Click "Payroll Direct Deposit Allocation". From here, users can enter the required transit routing and account numbers.

Viewing your Pay Advice on BannerWeb

To view your pay advice:

  1. Login to BannerWeb via MyMiami
  2. Click "Employee Services Online"
  3. Click "Pay Information"
  4. Click "Pay Stub"
  5. Choose a "Pay Stub Year", then click "Display"
  6. All pay stubs for the selected year will be displayed. Click the pay stub date to access pay stub detail.

 

Work Study

Federal Work-Study Program

Federal Work-Study is a federal financial aid program based on need computed from information you provide on the FAFSA. If you submitted the FAFSA and are not sure whether you are eligible for work-study, inquire at the Office of Student Financial Assistance 513-529-8734. If you are a financial aid recipient, your financial aid award may include work-study eligibility. Many departments prefer to hire work-study students since a portion of the employee's wage is drawn from federal funds.  You can view your Financial Aid Award Letter by following the instructions below.

To confirm work study eligibility:

  1. Login to BannerWeb via MyMiami
  2. Click "Student Services and Financial Aid”
  3. Click “Financial Aid”
  4. Click “My Award Information”
  5. Click “Award for Aid Year”
  6. Select "Current Aid Year"
  7. Click the “Award Overview” tab
