Format a Report to Make it More Presentable

There are times when you have a report that you need to give to someone else or that you need to use in a presentation. You want this report to not only look nice but to have certain information stand out. Enclosed are two examples of reports. The first report uses HTML formatting and no special features. The second report shows the same information as the first report in a more presentable way.

The first step would be to go to the Report Assistant and choose the fields that you want on your report and the fields that you wish to sort by. Run your report to be sure you are getting the information that you want. Save the report.

Formatting your report.

  1. Changing Column Headings
    • Choose Field Options
    • Highlight the column field you wish to change (DEALER_COST)
    • In FIELD DISPLAY TITLE type the new title (DEALER COST)
    • Repeat these steps for any column field you wish to change (exp. RETAIL_COST)

  1. Changing Appearance of Sort Field Values
    • Highlight the sort field you wish to change (COUNTRY)
    • Choose FIELD ¨ Current style box (DATA ONLY)
    • Choose the style (BOLD, ITALIC) ¨ Choose the size (10)
    • Click OK Screen 3 returns

  1. Changing Font for Data in Body of Report
    • Choose ALL FIELDS
    • Current style box (DATA ONLY)
    • Choose the size (10)
    • Click OK Screen 3 returns
  2. Changing Font on Report Titles
    • Choose ALL FIELDS
    • Current style box (TITLE ONLY)
    • Choose the style (BOLD) ¨ Choose the size (10)
    • Click OK Screen 3 returns
  3. Subtotaling on Sort Fields
    • Highlight sort field (COUNTRY)
    • Choose subtotal in dropdown box (If subtotal tab is not highlighted, choose that tab)
    • In the open box at the top type the wording for your subtotal field (TOTAL FIGURES FOR)
    • This will give you a subtotal for the numeric fields with the sortfield after the word FOR
    • Click OK Screen 1 returns

  1. Customizing Report

    HEADINGS

    • Choose HEADINGS TAB
    • By Page Heading choose CENTERED
    • In heading box type the heading you want on your report (SUMMARY OF COST AND SALES FIGURES
    • Choose Change Heading Style
    • Choose style (ITALIC, BOLD)
    • Choose size (14)
    • Click OKScreen 6 returns

FOOTINGS

    • By Page Footing choose CENTERED and BOTTOM
    • In the footings box type the footing you want on your report (Program CarTest Produced By your name on &DATEMDYY). The DATEMDYY must be in all caps.
    • Choose Change Footing Style
    • Choose style (BOLD)
    • Choose size (8)
    • Click OK Screen 6 returns

  1. Creating the PDF File
    • Choose OPTIONS TAB
    • Choose the display format (PDF)
    • Choose REPORT STYLE
    • Choose orientation (LANDSCAPE)
    • Click OK Screen 8 returns Click SAVE Click RUN

You may of course run your program throughout this process to see if you like the settings you have choosen. However, you would want to go to the Options Tab and choose the PDF format first or you won't see your final results.

DATE OPTIONS (examples using April 9, 1999)

  • &DATE will show as 04/09/99
  • &DATEMDYY will show as 04/09/1999
  • &DATEYYMD will show as 1999/04/99
  • These options may be used in either the Header or Footer titles
