AV Equipment

AV/Technology Services provides a comprehensive array of audiovisual equipment in support of classroom presentations and activities.

Equipment delivery is available on most items when equipment is scheduled 24 hours in advance.

Pickup of equipment is easily available at 130 Gaskill Hall.

Training in operation of portable audiovisual equipment is available upon request.

POLICIES & PROCEDURES

Faculty and Staff

All equipment can be reserved in advance by faculty and staff. For equipment delivery to be guaranteed, we request that a 24-hour notice be given. If it is within the 24-hour window and delivery personnel are available, delivery will be made. Otherwise, a faculty or staff member may pick up the equipment needed in 130 Gaskill Hall. If picked up, they must also return it to 130 Gaskill unless special arrangements are made for pickup by Audiovisual Services personnel.

The following equipment can be delivered directly to the classroom:

DVD/VCR and monitor on a cart, portable screens, overhead projectors, 16mm projectors with films, opaque projectors, easels or flip charts, and video projection systems. All other equipment must be delivered to a departmental office; this includes data projectors, slide projectors, cassette recorders, CD boom boxes, VHS camcorders, record players, caramate projectors, PA lecterns, portable PA systems, and conference phones.

Digital cameras and laptop computers and accessories are also available through Audiovisual Services. Both IBM and Macintosh model laptops may be reserved, but it is necessary that they be picked up and returned to 130 Gaskill Hall, as a financial responsibility form must be signed (no delivery is available). Digital cameras and electronic classroom keys must also be picked up and forms signed.

There is no "rental fee" on any audiovisual equipment. However, as the request level is quite high, the use period for most equipment is held to 3 days. During slow periods of the year (winter semester break, spring break and during the summer) we may extend the time period from 3 days to 5 days.
To insure an equipment reservation, we ask that it be booked as far in advance as possible. All equipment can be reserved by calling 529-6015.

Students

Any student who wishes to reserve audiovisual equipment for a class may do so with authorization from a faculty or staff member, either by phone call or with a written authorization. Any student who wishes to reserve audiovisual equipment for an organization may do so with a valid organization account number (see below). Exceptions to this rule are graduate students teaching a class, who are given faculty privileges (see above).

Student equipment may be reserved for a 24-hour period and must be picked up and returned to 130 Gaskill Hall; no deliveries are available. All equipment must be returned by 1:00 p.m. on the due date unless prior arrangements have been made. We do require a financial responsibility signature for all equipment and a fee of $10.00 per day, per item, may be charged if the equipment is returned after the due date. For student organizations, the account number will only be charged if the equipment is returned late, damaged or lost; for personal uses, late fees, damage or loss will be charged to the student's bursar bill. There are no rental fees required for use of equipment.

Large numbers of requests and a very small pool of student equipment are the reasons as to why the use period is restricted to 24 hours. This equipment pool consists of data projectors, slide projectors, overhead projectors, 16mm projectors, opaque projectors, PA lecterns, microphones, megaphones, and video projection systems. Projection systems that are going to be used on a weekend can only be booked after 12 noon on the Wednesday prior to the planned use. Projection systems needed for weekday use can only be booked within 48 hours of the planned use. We have a limited number of these units and they are also used for general classroom purposes. This policy allows us to ensure the faculty an opportunity to book the equipment for academic use, which is our priority.

When ordering equipment for a class, the professor or department secretary must call 529-6015 and reserve the equipment in his name and the student's name. If the student is reserving equipment for use through an organization, please have the account number handy at the time the reservation is made.
