There are several ways that an employee may exit the University. As a manager, it is important that you know what to do when this happens.
Resignation with notice
When an employee states that he/she is resigning on a certain date, the manager must complete the Departmental Employee Exit (PDF 556KB) form and submit to Human Resources via fax or email as soon as possible. The employee should be instructed to contact Employee Benefits at 513-529-3926 to schedule an exit interview before his/her last day.
Resignation without notice
When an employee stops reporting to work without calling in or without prior notice, the manager must complete the Departmental Employee Exit (PDF 556KB) form and contact Employee & Labor Relations immediately. Employee and Labor Relations at 513-529-4745, who will then start the termination process. This may include a formal hearing.
Temporary position ends
When an employee's temporary position ends, whether prior to the original end date or on the documented end date, the manager must complete and submit the Departmental Employee Exit (PDF 556KB) form. The employee should be instructed to contact Human Resources at 513-529-3926 to schedule an exit interview before his/her last day.
Termination/Probationary removal
When an employee is to be terminated for cause or as a probationary removal, the manager must contact Employee & Labor Relations at 513-529-4745 as soon as possible for guidance.
Retirement
When an employee states that he/she is retiring, the manager must complete the Departmental Employee Exit (PDF 556KB) form and submit to Human Resources via fax or email as soon as possible. The manager should instruct the employee to contact Human Resources at 513-529-3926 to schedule an exit interview before his/her last day.
Job Elimination/Layoffs
Position elimination and layoff procedures are handled by Human Resources. Please contact HR at 513-529-3131 for information and guidance.
