Selected Personnel And Payroll Policies And Procedures

New Employees

I-9's (Employment Eligibility Verification)

All U.S. employers are responsible for completion and retention of Form I-9 for each individual they hire in the United States. This includes citizens and noncitizens. On the form, the employer must verify the employment eligibility and identity documents presented by the employee and record the document information on the Form I-9. This form must be completed in person in the Academic Personnel office by the end of the employee's third day of employment. Should the form not be filed in a timely manner, paychecks can be withheld. Visit Benefit Services

New employees need to visit Benefit Services to review services provided to them based on their terms of employment. All new employees must complete a retirement form, W-4, and direct deposit authorization. They will also receive clearance for a parking pass and Miami ID. All new employees who are eligible for University provided benefits must sign-up in person. Enrollment sessions take place at 8:30 a.m. and 2:00 p.m, Monday through Thursday and 8:30 a.m. Friday. An average of one hour is needed for this visit to Benefits Services Office.

Visit Payroll Services

Direct deposit of salary is required and authorization cards are completed during new employee signup. Changes in financial institutions must be made in the Payroll Services Office. Pay dates are published on the Payroll Services website.

Faculty and staff whose contracts are for the nine-month academic year may elect to receive pay over a twelve-month period. An authorization card must be signed and received in Academic Personnel by August 10. No changes in pay schedule will be made during the academic year, but changes can be made effective the following academic year if a request to change pay schedule is received in Academic Personnel by August 10.

Summer Compensation Guidelines

All summer appointments are submitted on a Miami University Summer Session and Credit Workshop form.

  • Earnings for summer teaching (guaranteed courses) and summer administration cannot exceed 24% of previous academic year contract salary.
  • If an enrollment contingent course assignment is included (including credit workshops), total earnings cannot exceed 30% of the previous academic year contract salary.
  • If summer assignments include a significant portion of externally funded activities, up to 33 1/3% of previous academic year contract salary can be earned.
  • All summer earnings are considered in meeting these guidelines.

 
Overload Teaching

Overload teaching assignments can be accepted for three sequential semesters, excluding summer session. After a one semester break from overload teaching, a faculty member may accept another overload teaching contract.


Research Assignment and Leave

Applications are due in the Office of the Provost by December 1, after preliminary review by the department chair, dean, executive director, if applicable. Please refer to the Miami University Policy and Information Manual (MUPIM), sections 6.7 and 6.8 for more details.
